Renewal Vista is a centralized renewal management platform that helps organizations track recurring commitments, know when action is required, and avoid missed renewal decisions. It replaces the spreadsheets, reminders, inbox messages, shared documents, and employee memory often used to manage contracts, subscriptions, licenses, services, insurance, leases, and other recurring commitments. Each renewal provides one place to track the vendor, reference number, start date, renewal date, cancellation deadline, notice period, end date, auto-renew terms, cost, billing frequency, department, location, owner, status, documents, reminders, and history. Vendors are maintained separately so multiple agreements can share consistent vendor information. Renewal Vista recognizes that the renewal date is not always the real decision deadline. An agreement renewing December 1 may require 60 or 90 days' notice to cancel, meaning the organization could already be committed to another term before the renewal date arrives. Renewal Vista tracks cancellation deadlines separately and surfaces agreements while there is still time to act. The Needs Attention system focuses users on renewals that truly require action. A healthy Active renewal with dates far in the future can remain On Track. Renewals are surfaced for specific reasons, including approaching or overdue dates, pending decisions, missing ownership, missing critical information, or new vendor information requiring review. Cost can increase the significance of a real issue, but a high-cost agreement does not create an alert simply because it is expensive. Ownership is built into the process. Renewals can be assigned to the people and departments responsible for them, allowing responsibility to remain distributed while management maintains centralized visibility. Leaders can see the overall portfolio while managers and users remain responsible for their agreements. Renewals without an owner can be identified before they become forgotten obligations. Proactive reminders notify the appropriate people as important dates approach, with custom reminders available for agreements requiring earlier review. Renewal Vista brings upcoming obligations to users instead of relying on manual spreadsheet checks. Renewal information can be entered manually or imported through a staged CSV process where records can be reviewed and corrected before becoming live data. Vendor matching and duplicate safeguards help maintain data quality. Paid capabilities add document storage and document-based intake. Contracts, renewal notices, pricing documents, amendments, and other supporting files can be associated with renewals. Supported documents can be processed to prepare structured renewal information for review, reducing manual entry while keeping users in control. The Business plan adds incoming email ingestion. Users receive a unique Renewal Vista inbound address that works with forwarding rules in Outlook, Gmail, or other email systems. When a vendor renewal message arrives, Renewal Vista processes the email body and supported attachments together and prepares proposed renewal information for review. Incoming information can be matched against existing vendors and renewals, and changed or conflicting values can be highlighted. A reviewer can compare proposed information with the current record and choose to update an existing renewal, create a new renewal, or ignore the message. Nothing automatically overwrites trusted renewal data. Automation prepares; humans approve. Renewals move through a clear lifecycle including Active, Decision Pending, Renewed, Cancelled, and Expired. Lifecycle and attention are separate. Active describes the state of an agreement; Needs Attention describes whether someone needs to act. Reviewing or snoozing an alert does not make the underlying business condition disappear. Dashboards, search, filtering, and CSV export provide portfolio-level visibility. Organizations can examine renewals by vendor, department, location, status, and dates. Management can quickly understand upcoming commitments, deadlines, unresolved decisions, incoming updates, ownership, and financial exposure. Audit history preserves important changes, providing continuity when ownership changes or another renewal cycle begins. Security includes tenant isolation, role-based permissions, controlled financial visibility, email verification, optional 2FA, inactivity controls, audit history, and recoverable deletion. Renewal Vista intentionally stays focused. It is not an accounting system, ERP, procurement suite, project manager, or heavyweight contract lifecycle platform.
