About Sigil

Sigil: email signatures for Microsoft 365 that prove they're working Sigil gives every mailbox in your Microsoft 365 organisation a consistent, on-brand email signature. It builds each one from your directory data and applies it in Outlook as soon as someone starts a new email. Nobody pastes HTML into their settings, nobody has to chase the people who "just tweaked" theirs, and your mail is never rerouted. Sigil began as a replacement for an Exclaimer subscription in a single organisation. It's now a multi-tenant product from Tophhie Cloud Ltd, a registered UK company. HOW IT WORKS Sigil runs as an Outlook add-in. When someone composes a message, Sigil fetches their personalised signature and places it in the compose window, so they see exactly what recipients will get. It works in Outlook on the web, new and classic Outlook for Windows, Mac, iPhone and Android. Sigil never reads or stores your email content, and nothing gets redirected or intercepted along the way. KEY FEATURES - Visual designer and HTML editor, with a template library and separate signatures for replies and forwards - Personalised from Microsoft 365 directory data, plus custom fields people fill in themselves, such as pronouns, a booking link or a direct number - Assignment rules by department, office, domain or group, with a simulator that shows who gets which signature before you save - Scheduled campaign banners in any time zone, which switch themselves off when the campaign ends - Privacy-respecting click tracking that records counts only, with no IP addresses and no recipient identity - Compliance footers, scheduled publishing, and an optional draft, review and approve workflow - Shared mailbox support, including "Jane Doe on behalf of Sales" - A vCard "save my contact" button - Six portal roles, including read-only, compliance-only and billing-only access - A full change log, plus API keys for automating joiners and leavers WHAT MAKES IT DIFFERENT It checks its own work. The add-in reports whether each signature actually applied, and Sigil turns those reports into a weekly health digest for admins. The digest covers coverage, mailboxes that have never received a signature, failures and missing directory data. Most signature tools can't tell you when they're broken. Sigil tells you before your customers notice. Staged rollouts with automatic rollback. You can publish to 10% of mailboxes, then 25%, 50% and 100%. Sigil moves to the next stage only when the data shows the new version is applying properly. If it applies worse than the old version, Sigil rolls back on its own. We haven't found another signature tool that measures whether signatures apply, let alone one that acts on it. Honest pricing. Sigil costs £0.70 per licensed mailbox per month. Shared, resource and group mailboxes are free. You can exclude frontline or shift staff who don't need signatures, one by one or by group, and they come off the bill. Built for MSPs as well. A partner portal manages many client organisations from one login. It has Owner, Admin, Technician and Billing roles and one consolidated monthly invoice across all clients. Removing a technician cuts their access to every client at once. REAL OUTCOMES - A rebrand, office move or new legal line reaches every mailbox with a single publish, with no company-wide email asking people to update their settings - Marketing and brand teams can run signature campaigns without raising an IT ticket - IT no longer has to assume signatures are working, because it gets proof - Finance pays only for people who actually send email, not for every mailbox in the directory GETTING STARTED Setup is self-serve. A Microsoft 365 admin grants consent, deploys the add-in from the admin centre, and an onboarding checklist walks through the rest. You can try Sigil free for 14 days, with no card required, at usesigil.app.

Building each signature from directory data and dropping it into the compose window, so people see exactly what recipients get without mail being rerouted, removes the usual chasing. Nice to see it grew out of replacing a real subscription.
